Broad Function:

The Volunteer Engagement Assistant supports suitable and meaningful on-site and off-site volunteer opportunities for faith organizations, educational institutions, civic organizations and individuals in support of the vision, mission, values as well as the operational needs of Lazarus House Ministries (LHM). The Volunteer Engagement Assistant assists the Manager of Volunteer Engagement and participates in the planning, implementing, evaluating and improving both volunteer programs to ensure organizational needs are met and volunteer experience across LHM is optimal.

Performance Responsibilities:

  • Assist in the identification, recruitment, engagement and retainment of volunteers from faith organizations, educational institutions, civic groups, individuals and corporations.
  • Register volunteers and enter any other appropriate data in Volunteer Hub or other applicable volunteer database system and provide technical assistance to users of Volunteer Hub as needed.
  • Share appropriate data with other applicable donor management/communication systems as needed.
  • Implement outreach and recruitment strategies to increase and retain the volunteer pool.
  • Respond to email/phone requests and questions from volunteers in a timely manner.
  • Produce regular and ad hoc reports illustrating recruitment, participation and needs fulfillment utilizing the appropriate database system to provide to internal stakeholders.
  • Plan and arrange volunteer experiences including welcoming and snapping photos of volunteer groups, planning tasks and logistics alongside program staff for volunteer groups taking into consideration the appropriate size, age-range and needs/interest of the participants and the program.
  • Update and maintain a monthly calendar of volunteer opportunities, including accurate vacant and filled slots. Match volunteer engagement placement needs with program needs.
  • Track and provide proof of volunteer service hours to volunteers and other stakeholders as needed.
  • Track and provide professional volunteer service hour reports.
  • Participate in various volunteer engagement events throughout the year.
  • Assist in the organization and implementation of orientation and training for volunteers either in-person or via electronic delivery methods. Assist in obtaining appropriate screening info.
  • Coordinate with Programs to create, post, publicize and track wish lists of needed supplies and/or services.
  • Collect and analyze data utilizing regular surveys, interviews and other quality assurance communications and provide to internal and external stakeholders as needed.
  • Prepare presentations and other media materials and post on social media as appropriate for Volunteer Engagement in conjunction with Marketing and Communications.
  • Assist in the promotion and support of Third-Party fundraising events and in-kind drives related to targeted operational areas of LHM.
  • Assist in the planning, organization and hosting of Annual Volunteer Appreciation Week each April.
  • Take on additional associated work as needed. This may include providing information for and participating in Board and Development committee meetings, other internal meetings, drafting reports and presentations or writing proposals.
  • Assist with Project Bethlehem program as needed.

Qualifications:

  • AA/AS required or a combination of applicable education and experience.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, OneDrive, SharePoint, and PowerPoint) as well as Canva.
  • 2+ years of data entry experience.
  • 2+ years of experience and proficiency in features of database systems such as queries and report production.
  • 2+ years of experience in creating presentations and flyers utilizing PowerPoint, Canva or similar programs is desirable.

  • Outstanding interpersonal and communication skills, both verbal and written.

  • Receptive to new ideas and methods as well as the ability to comfortably adapt to change.
  • Maintains confidentiality and exercises sound judgement with information and situations requiring sensitivity, especially those involving volunteers and Guests.

Other Requirements

  • Ability and willingness to work occasional evenings or weekends.
  • Experience working with volunteer management software, ideally Volunteer Hub, is highly desirable.
  • Ability to travel to various LHM locations on a regular basis as well as the Greater Boston/Southern NH area on an occasional basis.
  • Bilingual verbal fluency in English and Spanish is desirable.

  • Move intermittently throughout the workday.
  • Remain in a stationary position 60% or more of the time.
  • Operate a computer and other office productivity machinery such as a printer and photocopier.
  • Lift up to 40 pounds less than 25% of the time.
  • Must possess sight/hearing/speech senses or use prosthetics that will enable these senses to function adequately so that the requirements of this position can be fully met.
  • Must be able to travel from building to building within LHM as well as to external locations.
  • Occasional exposure to outdoor weather conditions.
